PRC Group (“PRC Group”, “we”, “us” or “our”) is a consultancy based in Accra, Ghana. We are responsible for deciding how the personal information described in this policy is used. You can contact us about this policy or your personal information using the details in section 12.

Information you give us

Information submitted through our contact form may include your name, email address, telephone number and details of your enquiry. We use this information to respond to requests, communicate with prospective clients and manage relevant business enquiries.

We also collect the information you provide when you contact us by email, telephone or through our social media channels, and information provided in the course of discussing or delivering our services, such as your organisation, role and project details.

Information collected automatically

When you visit the website, our hosting provider automatically processes technical information needed to deliver the website securely, such as your IP address, browser type, the pages requested and the date and time of your visit. We do not use analytics, advertising or tracking tools on this website.

3. How we use your information and our legal basis

We process personal information in accordance with the Data Protection Act, 2012 (Act 843) of Ghana and, where it applies to you, other applicable data protection laws. We use your information only where we have a lawful reason to do so:

• To respond to your enquiry and take steps you ask us to take before entering into an agreement with you.
• To provide and manage our services where you or your organisation become a client, as necessary for the performance of our agreement.
• To communicate with prospective and existing clients and manage our business relationships, where this is in our legitimate interests and does not override your rights.
• To keep the website and our systems secure, including filtering spam and preventing misuse of the contact form, in our legitimate interests.
• To comply with legal and regulatory obligations, such as record keeping or responding to lawful requests from authorities.
• With your consent, where consent is required, for example if you ask to receive updates from us. You can withdraw your consent at any time.

We will not use your information for direct marketing unless you have agreed to this, and you can ask us to stop at any time.

4. Who we share your information with

We do not sell your personal information. We share it only where necessary, with:

• Website hosting and form processing: our website is hosted by Netlify, Inc., which also receives and stores contact form submissions and applies spam filtering to them on our behalf.
• Email services: form submissions are sent to our business email account, which is provided by our email service provider.
• Specialist professionals and service providers: where you ask us to coordinate services on your behalf, we may share relevant details with appropriate third parties, with your agreement.
• Professional advisers such as lawyers and accountants, where needed to run our business.
• Authorities, where we are required to do so by law or to protect our rights or the safety of others.

5. International transfers

Some of our service providers, including our website host, are based outside Ghana, for example in the United States, and may process your information there. Where this happens, we take reasonable steps to ensure your information remains protected, including by using reputable providers that apply appropriate security and contractual safeguards.

6. How long we keep your information

We keep personal information only for as long as it is needed for the purposes described in this policy. Enquiries that do not lead to an engagement are normally deleted within 24 months of our last contact with you. Information relating to clients and engagements is kept for the duration of the relationship and afterwards for as long as required to meet legal, accounting and regulatory obligations or to deal with any claims.

7. How we protect your information

We take reasonable steps to protect personal information against unauthorised access, loss, misuse or disclosure. The website is served over a secure, encrypted (HTTPS) connection, and access to enquiries and client information is restricted to those who need it. No method of transmission over the internet is completely secure, however, and we cannot guarantee absolute security.

Subject to applicable law, you have the right to:

• ask whether we hold personal information about you and request a copy of it;
• ask us to correct information that is inaccurate or incomplete;
• ask us to delete or destroy your information where we no longer have a lawful reason to keep it;
• object to, or ask us to restrict, our use of your information in certain circumstances;
• ask us to stop using your information for direct marketing; and
• withdraw your consent at any time, where we rely on consent.

If you have a concern about how we handle your personal information, please contact us first so that we can try to resolve it. You also have the right to complain to the Data Protection Commission of Ghana (www.dataprotection.org.gh). If you live outside Ghana, you may also be able to complain to the data protection authority in your country, for example the Information Commissioner’s Office in the United Kingdom.

10. Third-party websites and embedded content

Our website links to third-party websites and social media platforms, and our Sports & Media page includes embedded YouTube videos. These third parties may collect information about you under their own privacy policies, which we encourage you to read. Further details are in our Cookie Policy.

We may update this Privacy Policy from time to time, for example to reflect changes to our services or to the law. The current version will always be published on this page with the date it was last updated.
